Frequently Asked Questions Expeditions

How far do I have to be able to run, paddle, bike, travel?

Each camp or expedition varies in ability level, discipline, terrain, and distances covered. Under each trip’s description we will layout the distance covered each day in the itinerary. We also provide custom coaching services for each adventure to help you prepare.

 

Do I need trail running, biking, paddle, experience?

Each trip varies. While trail running (or the like in other disciplines) experience at some camps/expeditions may not be a requirement, at others prior experience will be very helpful in experiencing a successful and enjoyable trip. The better prepared you are for the adventure you go on, the more enjoyable it will be. You can see the experience level and details for each trip on the trip’s homepage. What will we do when we aren’t running, paddling, biking, traveling?

When not practicing our discipline (running, paddling, biking, etc.) we will be eating, resting, diving into local culture, driving, etc. Each trip’s details will outline the specifics for that adventure.

 

Can I come alone?

Of course. The majority of our clients are actually made up of solo travelers. Rates posted are based on double-occupancy, though private accomadation upgrades are available for some trips.

 

What is included in the trip cost?

Posted trip prices include pre-trip communication, airport transfers (Not all expeditions include transfers. See the trip's homepage for more detail.), accommodations, meals/snacks (some trips may outline extra costs), water, ground transportation during the expedition, experienced guides, drivers, organized-supported runs, swag, and more.

 

What is NOT included in the trip cost?

Posted trip prices do not include alcohol, flights, tips, personal gear, visas (if applicable) or personal purchases.

 

What sort of food will we be eating?

Each trip will vary by destination, however all trips feature local fare. We stress the importance of healthy, fulfilling, fresh meals & snacks! There may be a little comfort food too. We can also accommodate vegetarian and special diet requirements.

 

What are the accommodations like?

Accommodation style varies by destination. Options include (but not limited to) cabin to cabin based routes, back country camping, lodges / inns, etc. We look for family-run establishments whenever possible. By taking this approach we ensure a memorable and culturally rich stay help while supporting local economies. In some instances, clients will need to provide their own sleeping bag, sleeping pad, and personal gear.

 

What items or gear should I pack?

This will also vary by destination, but packing light is always encouraged! A detailed packing list will be provided to all participants well before departure for each adventure.

 

If you need to cancel your trip.

While we sincerely hope this is not the case, on occasion a participant might have to back out of a trip. Please see our cancellation policies. These policies are in place because most of the expenses are paid well in advance of a trip start date.

 

If you need to cancel:

  • First 30 days after signup: Refund full amount (minus a processing fee for paying by credit card)

  • 121+ days before the first day of scheduled trip (after the 30 day signup period): Deposits will be non-refundable

  • 61 - 120 days before the first day of scheduled trip: 50% of total amount paid refunded*

  • 0 - 60 days before the first day of scheduled trip: No refunds

 

*Participants must pay their balances on time for this to be applicable. If a participant has not paid their balance by the due date and/or cancel after the due date, we will retain your full deposit. If you do not arrive for the trip, arrive late or leave early no refunds will be issued and you are responsible for any additional costs associated with transport to and from the trip.

 

What if Ultra Expeditions has to cancel?

Despite the most rigorous planning, at times a trip might need to be postponed or canceled. We may cancel a trip at any time up to 120 days before departure if the trip has not met the minimum booking numbers. We may cancel a trip at any time prior to departure due to terrorism, natural disasters or other external events that prevent us from safely operating the planned itinerary. If we cancel your trip, you can transfer amounts paid to an alternate trip or receive a full refund.  In circumstances where the cancellation is due to external events outside our reasonable control refunds will be less any unrecoverable costs.  We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance or non-refundable flights.   

 

How do I learn more about coaching and training services? 

Custom coaching services are available if you are going on an adventure or preparing for a running event; like a marathon, ultra marathon, adventure run, backcountry travel, etc. For more details visit our Coaching page or contact us. We’re happy to customize a program for you.

 

Is travel insurance recommended?

Yes. Travel insurance is strongly recommended in the case of trip cancellation/trip interruption. We honestly wouldn’t recommend this if it wasn't a real benefit to you. Trip insurance is very inexpensive, but it will really save you a lot of trouble should something unexpected arise. This also could include medical emergencies, which could be costly. Whether purchasing coverage through your own insurance company or through one of the insurance companies below, you can have peace of mind knowing you are protected:

Where do I sign up for a trip?

You can register online. Simply visit the adventure page and you’ll see a “registration” button. While we would love to take as many as possible on each adventure, there are a limited number of spots available. Putting down a deposit secures you a spot. Due date information for both balances and deposits can be found on each trips home page.
